- Check if they already replied.
- Check if they already paid. Look in your bank or UPI app.
- Ask one question per message.
- Keep a copy of what you sent and when.
- Send one step at a time and wait for the gap shown before the next one. Do not send all four in a row.
- Keep each message on its own. Short messages are easier to answer.
- If they reply at any step, stop the ladder and answer them.

WhatsApp or email?
A simple rule: use WhatsApp when you want speed and already chat with the person. Use email when you want a paper trail, or when you are dealing with a large company. For important money, do both: a short WhatsApp message that points to the email.
How many follow-ups before you stop?
Guides differ. For late invoices, Duely suggests a friendly reminder 1 to 3 days after the due date, then 7 to 10 days, 14 to 21 days, and a final notice at 30 or more days, and says most freelancers send three to five reminders. Monsoon uses day 7, day 15 and day 30. Both are written for invoices and sell reminder tools, so treat them as examples of common rhythms, not rules.

How do I follow up with a client who is not responding?
Send a short, friendly message that asks one clear question. If there is still no reply after a few days, send a clearer message with a date. End with a closing message that lets them restart later.
How long should I wait before following up after sending a proposal?
There is no fixed rule. Many freelancers wait a few days, then follow up again after about a week. Shorter for small jobs, longer for big company decisions.
Is it okay to send a payment reminder on WhatsApp?
Yes, especially in India and for smaller amounts or clients you already chat with. For large amounts or formal companies, email gives you a better record. Doing both is common.
How many follow-up messages should I send before giving up?
